0. Introduction

CareerCross Co., Ltd. ("the Company") complies with all applicable laws and regulations regarding the Personal Information and other information handled through the websites and related services (collectively, the "Services") operated by the Company. The Company collects, uses, and manages such information appropriately.

2. Types of Personal Information Collected

2.1 Information Collected from Individual Users

  • Name, email address, language proficiency, visa information, and similar information.
  • Resume/CV information, including gender, age, address, educational background, work experience, qualifications, salary, and employment eligibility information (such as residence status and work authorization).
  • Information relating to job applications and scout communications, including messages sent and received, message content, and attached documents.
  • Inquiry information, including name, email address, and the content of inquiries.

Note: The Company may review, monitor,access and retain the content of messages relating to scout communications, job applications, and similar interactions for purposes including the proper operation of the Services, prevention of fraudulent or inappropriate activities, confirmation of recruitment outcomes, and improvement of matching accuracy. The Company will obtain the user's explicit consent to such access and retention separately, either at the time of member registration or upon the first use of the relevant function, using the method prescribed by the Company. If the user does not provide such consent, the Company may restrict access to all or part of the relevant function.

2.2 Information Collected from Employer Users

  • Company information, contact person information, login information, company profile, job posting information, and similar information.

2.3 Information Automatically Collected Through Your Use of the Services

  • Cookies and access logs (including IP addresses and page views).
  • Information collected through web beacons.
  • Advertising identifiers, device identifiers, browser information, browsing history, user activity history, and similar information.

2.4 Handling of Sensitive Personal Information

The Company does not actively collect Sensitive Personal Information.
If a user voluntarily provides Sensitive Personal Information in free-text fields, such as in a resume or CV, the Company will handle such information in accordance with this Privacy Statement. However, the Company does not intentionally collect such information.
In addition, unless necessary for the provision of the Company's recruitment services, the Company does not collect information that may give rise to social discrimination, including information relating to an individual's beliefs or ideology, membership in labor unions, or similar information. Information regarding nationality will be collected and used only to the extent necessary for the provision of the Services.
The Company requires users to provide  information regarding their residence status and work authorization eligibility (including visa status) for the purpose of confirming their eligibility to work.

3. Purposes of Use

3.1 To Provide the Services

  • Member registration, identity verification, and account management.
  • Job search, job applications, the sending and receiving of scout messages, and recruitment-related communications.
  • Candidate search, profile viewing, and communication by employer users, within the scope of the user's disclosure settings.
  • Provision of job listings and recruitment support for employer users.
  • Provision of matching opportunities and encouragement of job applications.
  • Responding to inquiries.

3.2 Service Improvement and Quality Enhancement

  • Analyzing service usage, preparing statistical data, and improving the functionality of the Services.
  • Optimizing recommendations, including analysis of users' activity history.
  • Note: The Company may create statistical data and other information that has been processed so that individuals cannot be identified, based on usage history and other information. Such data may be used for the planning, development, and improvement of the Services, as well as for machine learning and similar purposes.

3.3 Security and Fraud Prevention

  • Preventing unauthorized access, spam, impersonation, and other fraudulent activities, and imposing usage restrictions where necessary.

3.4 Communications, Notifications, and Marketing

  • Providing important notices and maintenance information.
  • Providing information about new features, surveys, events, and campaigns (users may opt out of receiving such communications).
  • Delivering advertisements and measuring their effectiveness using Cookies and similar technologies.

3.5 Compliance with Laws and Protection of Rights

  • Complying with legal obligations, resolving disputes, and exercising or defending legal rights.

4. About the Survey Information

The company may use information obtained through surveys for the purposes of providing, operating, and improving our services; planning and developing new services; analyzing service usage; conducting marketing activities; creating statistical data; publishing content; and other purposes related to the Company's services.

When publishing survey results on the Company's website or through other media, the Company will do so in a manner that excludes personally identifiable  information.  If the Company intend to publish  survey results which including personally identifiable information, the Company will obtain the individual's separate consent in advance.

5. Resume Disclosure Settings and Information Disclosure

Users may select the disclosure settings applicable to  their resume information, including anonymous disclosure, non-disclosure, and  other available disclosure options ).
The scope of information that employer users can view will vary depending on the user's selected disclosure settings.

6. Disclosure to Third Parties

The Company does not disclose Personal Information to third parties except in the following circumstances:

  • Where required by applicable laws and regulations.
  • Where necessary to protect the life, body, or property of an individual.
  • Where requested by government authorities or other public authorities in accordance with applicable laws and regulations.

6.1 Disclosure to Employer Users

  • The Company may provide application documents (including resumes/CVs and work history documents) to the employer user to whom the user applies, to the extent necessary for the application process. 
    With respect to the scout function, the information available to employer users is controlled in accordance with the user's selected disclosure settings (e.g., anonymous disclosure, non-disclosure, and other available disclosure options ).
    By submitting a job application, responding to a scout communication, or using the resume disclosure settings, the users acknowledge and agree that the Company may disclose user’s  Personal Information to the relevant employer user to the extent necessary for the provision and operation of the Services.

6.2 Business Transfers

In the event of a merger, company split, business transfer, or similar transaction, Personal Information may be transferred to the successor entity.

7. Use of Service Providers

The Company may entrust the handling of Personal Information to service providers to the extent necessary for the operation of the Services.
The Company contractually requires such service providers to implement appropriate security control measures and shall supervise their handling of Personal Information as necessary.
Examples of such services include data center operations, email delivery services, and customer support.

8. Use of Cookies and Similar Technologies

8.1 Use of Cookies

The Company uses Cookies and similar technologies to maintain user login sessions, improve the usability of the Services, and analyze how the Services are used.
Users may disable Cookies through their browser settings. However, doing so may prevent certain features of the Services from functioning properly.

8.2 Personalized Advertising

The Company may use users' browsing history and other usage information to provide advertisements tailored to users' interests and preferences.
Users may limit such advertising through their browser settings or by using the opt-out mechanisms provided by advertising service providers.

9. Access Logs and Web Beacons

The Company uses access logs (including IP addresses and page views) for statistical analysis and to improve the Services.
The Company also uses web beacons to measure the effectiveness of the Services and related activities. Web beacons do not ordinarily collect information that directly identifies an individual, such as a user's name. However, when used in combination with Cookies and similar technologies, they may be used to analyze how the Services are
 

10. International Transfer of Personal Information

The Company may store, access, transfer or otherwise process Personal Information in countries outside Japan in connection with the use of cloud services, data centers, service providers, outsourced contractors, or business partners.

11. Security Measures

The Company implements necessary and appropriate security measures to prevent the leakage, loss, or damage of Personal Information and to otherwise ensure its secure management.
The Company also exercises necessary and appropriate supervision over its employees and service providers (including subcontractors) that handle Personal Information.
The principal security measures implemented by the Company are as follows:

(1) Establishment of Basic Policy
The Company has established a Personal Information Protection Policy to ensure the proper handling of Personal Information.

(2) Establishment of Rules for the Handling of Personal Information
The Company has established internal rules governing the handling of Personal Information at each stage of its lifecycle, including its collection, use, storage, disclosure, deletion, and disposal. These rules specify handling procedures, responsible personnel, and their respective duties.

(3) Organizational Security Measures
The Company appoints personnel responsible for the handling of Personal Information, clearly defines the employees authorized to handle Personal Information and the scope of the Personal Information they may access, and maintains procedures for reporting and responding to actual or suspected violations of applicable personal information protection laws or the Company's policies.
The Company also conducts regular self-assessments and internal audits regarding the handling of Personal Information.

(4) Personnel Security Measures
The Company provides regular training to its employees to ensure awareness of the importance of protecting Personal Information.
The Company also imposes confidentiality obligations on employees through its employment rules and other internal policies.

(5) Physical Security Measures
The Company controls access to areas where Personal Information is handled, restricts the devices and equipment that may be brought into such areas, and implements measures to prevent unauthorized persons from accessing Personal Information.
The Company also implements measures to prevent the theft or loss of equipment, electronic media, documents, and other materials containing Personal Information. When such items are transported, including within Company facilities, appropriate measures are taken to prevent Personal Information from being readily identifiable.

(6) Technical Security Measures
The Company implements access controls to limit access to Personal Information and the databases containing such information to authorized personnel.
The Company also implements safeguards to protect information systems that handle Personal Information from unauthorized access and malicious software.

(7) Assessment of Foreign Legal Environments
Where Personal Information is transferred to a country outside Japan, the Company implements appropriate security measures after assessing the legal framework for the protection of Personal Information in the relevant country.
If you wish to obtain information regarding the countries in which your Personal Information is processed or an overview of the personal information protection systems applicable in those countries, please contact the inquiry desk set forth in Section 16.

12. User Rights and Request Procedures

Users are entitled to request notification of the purposes of use of their Personal Information, access to their Personal Information, correction, addition, or deletion of their Personal Information, suspension of use or deletion of their Personal Information, disclosure of records of disclosure to third parties, or suspension of disclosure to third parties, to the extent permitted under applicable laws and regulations.

Users may also request to opt out of email communications and other similar notifications.

Requests and inquiries regarding the above may be submitted through the contact point described in Section 16 (Complaints, Consultations, and Inquiries). To verify that the requester is the individual concerned or a duly authorized representative, the Company may require the submission of identification documents, a power of attorney, or other supporting documentation to the extent necessary.

The Company will review such requests and respond within a reasonable period in accordance with applicable laws and regulations. Where permitted or required by law, the Company may be unable to comply with all or part of a request. In such cases, the Company will notify the requester in accordance with applicable laws and regulations.

If the Company charges a fee for requests for notification of the purposes of use or disclosure of Personal Information, the applicable fee will be published in advance in this Privacy Statement or by other methods designated by the Company.

13. Personal Information of Minors

Any user who is a Minors  must obtain the prior consent of his or her  legal representative (including  a parent or guardian) before using the Services.
If the Company becomes aware that Personal Information has been collected improperly from a minor, the Company may take appropriate measures, including deleting such Personal Information.

14 Response to Personal Information Incidents

If a leakage or other security incident involving Personal Information occurs, the Company will investigate the incident, take measures to prevent further damage, and implement measures to prevent recurrence.

Where required by applicable laws and regulations or otherwise deemed necessary, the Company will notify the relevant authorities and affected users.

15. Changes to this Privacy Statement

The Company may review and update this Privacy Statement from time to time. Any  changes to this Privacy Statement will be announced on the Company's website.

This Privacy Statement is prepared in Japanese, and any version in a language other than Japanese is  provided solely for reference and convenience.
