Work hours include one evening shift per week (11:30 to 20:00)

SALARY & BENEFITS

Commensurate with experience.
Eleven days paid vacation in the first year, increasing to 20 days after six years of employment, plus five paid “personal and sick days” each year. In addition, approximately two weeks of university-wide break over Christmas/New Year. Japanese social insurance and pension, commuting allowance, and tuition benefits for TUJ programs.

OVERVIEW OF POSITION

Temple University Japan is hiring a full-time Library Assistant. We're looking for a service-oriented individual with strong Public and Technical Services library skills. The following duties are typical for this job. Incumbents may not perform all the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices.

EXAMPLE DUTIES

  • Assist patrons at the circulation desk, checking out, checking in, renewing items, providing supplies, registering new patrons, and handling account issues.
  • Manage the reserve and textbook collection by processing materials, conducting searches, tracking items, and preparing reports.
  • Provide technical support for library equipment, troubleshoot issues, and assist patrons with use.
  • Supervise and train student workers.
  • Maintain library collection by shelving, organizing materials, and assisting with inventory and maintenance tasks.
  • Handle interlibrary loan requests, obtain materials, and support account maintenance with partners.
  • Search for lost/missing items, communicate with patrons, place academic holds.
  • Support acquisition and collection development processes, including reviewing book order lists to prevent duplication, receiving donated books, coordinating selection with librarians, withdrawing materials, maintaining records.
  • Assist in cataloging; perform copy cataloging. Process print and non-print materials for library collection.
  • Support the periodicals area by ordering, maintaining, and processing periodicals and newspapers; manage weeding and inventory.
  • Handle orders with library vendors, process new items for circulation, manage vendor communications, invoicing, payments, and claims. Manage ordering and receipt of office and special library supplies.
  • Assist with special projects, compile data for reports, and participate in library activities.
  • Maintain accurate statistics and fiscal records, update procedure manuals, office files, and supplies.
  • Perform general clerical tasks such as typing, data entry, and file maintenance.
  • Manage library opening and closing procedures as assigned; provide backup support to library staff.
  • Participate in staff meetings and university events.
  • Stay informed about library science trends (literature, conferences, and workshops). 
  • Collaborate on strategic initiatives and operational plans with the library team. 
  • Perform additional duties as assigned.

Required Skills

QUALIFICATIONS & EXPERIENCE

  • Associate degree or bachelor’s Degree.
  • Two years of increasingly responsible library work experience, including use of automated cataloging systems and integrated library systems.
  • Effective communication skills, both written and oral, in English.

KNOWLEDGE AND ABILITIES

Strong customer service skills, including the ability to handle disruptive situations. Familiarity with contemporary office practices and procedures, library equipment, and technical aspects relevant to the assigned library areas. Ability to analyze situations and determine effective strategies and ensure efficient organization of day-to-day operations within a specific area. Knowledge of financial and statistical record-keeping methods and basic mathematical skills. Able to comprehend and apply rules, regulations, policies, and procedures, adhere to schedules and deadlines, and work well in a multicultural environment.

DESIRABLE QUALIFICATIONS

  • Possession of paraprofessional Library Technology certificate
  • Experience in a similar library position; background in academic library environments
  • Japanese proficiency (oral and written)

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Primary duties necessitate adequate physical capability and mobility for library work, involving prolonged periods of standing or sitting, frequent stooping, bending, kneeling, crouching, reaching, and twisting, as well as the ability to lift, carry, push, and/or pull light to moderate weights. Tasks also include operating library and office equipment, which requires repetitive hand movements and fine coordination, including using a computer keyboard, and verbal communication for information exchange. These conditions outline the essential functions of the job that employees must meet successfully. Reasonable accommodations may be provided for individuals with disabilities to perform these essential job functions. Work environment is primarily in the library, with potential noise from office equipment and frequent interruptions. There is regular in-person interaction with students, staff, and others. Basic environmental controls are maintained to ensure health and comfort.
