Summary
The Accounting Assistant manages petty cash, oversees reimbursements, and issues donation receipts. The role includes organizing accounting documents, preparing expenses, and coordinating part-timer and casual helpers salaries. Additionally, it requires assisting teachers with utilities, bank accounts, accommodation repairs, inquiries, and end-of-year tax adjustments.  Responsibilities extend to managing departing teachers' payments and National Pension premiums. In procurement, duties involve verifying order details, obtaining quotes, tracking deliveries, liaising with suppliers, and reviewing requisitions. The role also includes clerical tasks assigned by the business office.

Key Responsibilities

Support to Accounting:

  • Organize accounting documents.
  • Manage petty cash, including reimbursements to teachers and staff.
  • Issue receipts for school donations.
  • Calculate monthly work hours for part-timers and casual workers.
  • Liaise with part-timers regarding monthly salary.
  • Collect documents for visiting presenters’ payments.
  • Collect documents for transportation allowances.
  • Check the account receivable. 

Support to Faculty Staff:

  • Assist faculty staff with utilities, including starting and stopping payments, opening bank accounts, and general paperwork.
  • Arrange repairs related to faculty staff's accommodation in liaison with landlords.
  • Assist new and current faculty staff with inquiries about credit cards, and online banking.
  • Assist faculty staff with end-of-year tax adjustments.
  • Assist payments and procedures for departing staff.
  • Assist with National Pension premium payments, lump sum pension refunds, paperwork, and documentation. 

Support to Procurement:

  • Provide support in receiving requisitions from different school departments and review for accuracy, completeness, and adherence to procurement policies.
  • Verify accuracy of order details, including quantities, specifications, and pricing and claim any items damaged or missing.
  • Provide support in obtaining and comparing price quotations.
  • Track and monitor delivery schedules.
  • Liaise with suppliers to confirm order details and delivery schedules.
  • Receive deliveries and check the accuracy and proceed with internal distribution.
  • Maintain the Elementary supply room.

Support to Business Office:

  • Perform clerical tasks as assigned by the business office.
  • Other duties as assigned.

General Requirements

Minimum Experience Level Over 3 years

Visa Status Permission to work in Japan required

Required Skills

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • Proficiency in accounting software.
  • Strong knowledge of MS Office, especially Excel.
  • Excellent organizational and multitasking abilities.
  • Strong communication and interpersonal skills.
  • Proficiency in Japanese and English.
  • Ability to provide excellent support to faculty and staff.
  • Strong sense of responsibility and commitment to assisting staff with various needs.
  • Ability to work within a small finance team to support a larger business office team.
