Job Purpose
The School Operations Officer is responsible for planning and coordinating the day-to-day business operations of a school office and serves as administrative aide to the Operations Manager and the School Heads.
Main Duties and Responsibilities
Reception
• Handle incoming calls
• Correspond with students, staff, families and visitors to the school
Student Record Mangement
• Manage the enrolment, withdrawals and reenrolment process for students and the preparation of related records and files
• Enter student data into school information systems
• Manage the maintenance of student records, including attendance, grades, test scores, class schedules, discipline and other documents.
Communication
• Support arrangements for school and community activities; act as liaison between school and student families.
• Check in students and families for appointments
• Promote and maintain a positive and effective school climate by ensuring that all interactions with staff, students, parents, and the public at large are prompt, efficient, and friendly.
Bus Operation
• Manage student list for daily bus operations
• Handle parent requests
Facilities
• Engage in student safety operations including participation in disaster prevention activities with the local authorities and community
• Support in daily operations of facility management
Key Relationships
Internal: Student families, Faculty, Office Staff, Leadership Team
External: Visitors, Prospective Families, Local Community

• Bachelor’s Degree
• A minimum of 3 years' work experience in education and/or advanced secretarial or office management experience, including contact with the public.
• Excellent organizational skills to maintain academic records
• Ability to work with various kinds of school data, including the skill to learn new systems and how the various parts of a system relate to the whole school
• Strong computer literacy (Microsoft Office)
• Good interpersonal and communication skills
• Ability to multi-task and balance ambiguity in a rapidly changing environment
• Ability to work productively with frequent interruptions
• Professional appearance to represent our organization
